These Terms of Service govern the use of the PetPA website, software platform and related services provided by Outfitt PA, trading as PetPA (“PetPA”, “we”, “us” or “our”).
By creating an account, starting a free trial, purchasing a subscription, or using PetPA, you agree to these Terms.
1. About PetPA
PetPA is a digital breeder-management platform designed to assist breeders with managing information relating to their breeding operation.
Depending on the features available in your account, PetPA may assist with the management of:
dogs and other breeding animals;
pedigrees and parent relationships;
heat cycles;
matings;
pregnancies;
litters;
puppies;
waiting lists;
reservations;
deposits and payments;
pet owners and buyers;
vaccinations;
deworming;
veterinary and health records;
microchip and registration information;
documents;
photographs;
tasks and reminders; and
puppy handovers and related records.
PetPA is a management and record-keeping tool. It does not replace veterinary, legal, accounting, breeding, animal-welfare or other professional advice.
2. Eligibility and account responsibility
You must provide accurate and current information when creating or using a PetPA account.
You are responsible for:
maintaining the confidentiality of your login details;
all activity performed through your account;
ensuring that information entered into PetPA is accurate;
managing access granted to staff, assistants, pet owners or other users associated with your account; and
notifying PetPA if you believe your account has been accessed without authorisation.
You may not share login credentials in a way that compromises the security of the platform.
3. Free trial
PetPA currently offers eligible new breeder customers their first month free.
No setup fee is charged.
The free trial is intended to allow breeders to evaluate the platform before becoming paying subscribers.
PetPA may change or withdraw promotional or free-trial offers for future customers. Any change will not retrospectively alter a trial already granted unless reasonably necessary due to misuse or fraud.
4. Pricing and subscriptions
PetPA's current standard pricing is:
Monthly subscription: R99 per month
Annual subscription: R990 per year
The annual subscription represents approximately two months free compared with paying the monthly subscription for twelve months.
All core PetPA features included in the applicable subscription are provided without feature tiers unless otherwise stated on the website.
Current pricing is displayed at www.petpa.co.za.
PetPA may change its pricing in future. Existing customers will be notified of material subscription price changes before those changes take effect.
5. Payment
Subscription fees are payable in advance for the applicable subscription period.
Payments may be processed by third-party payment providers, including Paystack.
PetPA does not require customers to provide payment-card details directly to PetPA where those details are securely collected and processed by the payment provider.
Customers are responsible for ensuring that their payment details remain valid and that sufficient funds are available for subscription payments.
6. Cancellation
Monthly subscriptions are offered on a month-to-month basis and may be cancelled at any time.
Cancellation prevents future subscription renewals. Unless applicable law requires otherwise, access may continue until the end of the period already paid for.
Annual subscriptions may also be cancelled to prevent renewal for the following subscription year.

Customers should cancel before the next scheduled billing date if they do not wish the next subscription payment to be processed.
Nothing in these Terms limits any cancellation right that a consumer may have under applicable South African law.
7. Refunds
PetPA provides a free first month so customers can assess the service before becoming paying subscribers.
Once a subscription payment has been processed, payments are generally non-refundable, including where a customer:
changes their mind;
does not use the platform;
uses only part of a paid subscription period; or
cancels after a subscription payment has already been processed.
PetPA does not ordinarily provide pro-rata refunds for unused subscription periods.
However, nothing in this Refund Policy excludes or limits any refund, cooling-off, cancellation or other consumer right that cannot lawfully be excluded under applicable South African law.

8. Customer data
Customers retain responsibility for the information they enter or upload to PetPA.
This may include:
animal records;
breeder records;
pet-owner information;
health and vaccination information;
registration information;
photographs;
documents;
waiting-list information; and
reservation and payment-related records.
You confirm that you are authorised to collect, store and use personal information that you enter into PetPA.
Breeders remain responsible for complying with applicable privacy and data-protection requirements in relation to their own customers, staff and other individuals.
9. Acceptable use
You may not use PetPA:
for unlawful purposes;
to store or distribute illegal material;
to harass or harm another person;
to gain unauthorised access to another account;
to interfere with the operation or security of PetPA;
to introduce malicious software;
to attempt to reverse-engineer the platform except where expressly permitted by law; or
in a manner that infringes another person's intellectual-property or privacy rights.
10. Animal health and breeding information
PetPA may store or display vaccination dates, breeding information, health records, reminders and other animal-related information.
These features are provided for record-keeping and organisational purposes only.
PetPA does not diagnose animals, provide veterinary treatment, determine whether an animal is fit for breeding, or guarantee the accuracy of information entered by breeders or other users.
Veterinary and breeding decisions should be made with appropriately qualified professionals where necessary.
11. Availability of the service
We aim to keep PetPA available and operating reliably.
However, access may occasionally be interrupted due to:
maintenance;
software updates;
internet or hosting outages;
third-party service interruptions;
security incidents; or
circumstances outside our reasonable control.
PetPA does not guarantee uninterrupted or error-free access at all times.
12. Intellectual property
The PetPA name, branding, software, design, workflows, database structure, website content and other proprietary material remain the property of PetPA and/or its licensors.
Customers receive a limited right to use the platform for their own legitimate business purposes while their account is active.
No ownership rights in the PetPA platform are transferred to users.
13. Suspension or termination
PetPA may suspend or terminate an account where reasonably necessary, including where:
subscription fees remain unpaid;
the platform is being misused;
fraudulent activity is suspected;
a serious security risk exists;
these Terms are materially breached; or
continued use would expose PetPA or another person to legal or security risk.
Where reasonably possible, we will provide notice before suspending an account.
14. Limitation of liability
To the fullest extent permitted by applicable law, PetPA will not be responsible for indirect or consequential loss arising from use of the platform.
PetPA does not guarantee:
the accuracy of information entered by users;
breeding outcomes;
veterinary outcomes;
sales or reservation outcomes;
kennel profitability; or
regulatory compliance by individual breeders.
Nothing in these Terms excludes liability that cannot legally be excluded under South African law.
15. Changes to these Terms
PetPA may update these Terms from time to time.
Material changes affecting existing subscribers will be communicated where reasonably required.
The latest version will always be available on the PetPA website.

These Terms are governed by the laws of the Republic of South Africa.

PetPA respects the privacy of its customers and users.
This Privacy Policy explains how Outfitt PA, trading as PetPA, collects, uses, stores and protects personal information when you use the PetPA website, platform and related services.

PetPA may use personal information to:
create and manage accounts;
provide the PetPA service;
authenticate users;
manage subscriptions;
process or facilitate payments;
provide customer support;
send account or service notifications;
send trial and subscription reminders;
improve platform functionality;
diagnose errors;
protect the security of the service;
comply with legal obligations; and
prevent fraud or misuse.
3. Breeder-entered information
Breeders may enter personal information relating to buyers, owners, staff members or other individuals.
Breeders are responsible for ensuring that they have an appropriate basis for collecting and using that information.
PetPA processes such information to provide the service requested by the breeder.
4. Payments
Payments may be processed through third-party payment providers such as Paystack.
Payment providers may collect information required to process the transaction.
PetPA does not ordinarily store full payment-card details where those details are collected directly by the payment provider.
The payment provider's own privacy and security policies also apply to information processed by them.
5. Service providers
PetPA may use trusted service providers to operate the platform, including providers of:
cloud hosting;
application infrastructure;
databases;
email services;
payment processing;
analytics;
security; and
technical support.
Personal information may be shared with these providers only where reasonably necessary to provide or protect the service.
6. Information sharing
PetPA does not sell users' personal information.
Information may be disclosed where:
necessary to provide the service;
required by law;
required to protect PetPA's legal rights;
necessary to investigate fraud or security incidents; or
the user has authorised the disclosure.
7. Security
PetPA takes reasonable technical and organisational measures to protect personal information against:
loss;
unauthorised access;
misuse;
alteration;
destruction; or
unauthorised disclosure.
No internet-based system can guarantee absolute security, and users should also protect their passwords and devices.
8. Data retention
PetPA retains information for as long as reasonably necessary to:
provide the service;
maintain legitimate business records;
resolve disputes;
comply with legal obligations; and
protect legal rights.
Information may be deleted or anonymised when it is no longer reasonably required, subject to applicable legal and operational requirements.
9. Your rights
Where applicable under South African data-protection law, individuals may request:
access to personal information held about them;
correction of inaccurate information;
deletion of information where legally appropriate;
information about how their information is used; or
objection to certain processing.

10. Children
PetPA is intended primarily for breeders and adult pet owners.
PetPA should not be used by children to create independent paid customer accounts without appropriate adult involvement.

The PetPA website may use cookies or similar technologies required for:
website functionality;
security;
user sessions;
analytics; and
performance.
Where required, users may be provided with options relating to non-essential cookies.
12. International service providers
Some technology providers used by PetPA may process or store information outside South Africa.
Where this occurs, PetPA will take reasonable steps to use providers and arrangements appropriate for protecting personal information.
13. POPIA
PetPA intends to handle personal information in accordance with applicable South African privacy law, including the Protection of Personal Information Act (POPIA).
Users of PetPA who collect personal information through their own breeding operations remain responsible for their own obligations under applicable privacy legislation.

Once a subscription payment has been processed, payments are generally non-refundable.
This includes cancellation because of:
change of mind;
non-use of the platform;
partial use of a subscription period; or
cancellation after a subscription payment has already been processed.
PetPA does not ordinarily provide partial or pro-rata refunds for unused subscription periods.
Cancelling a subscription prevents future renewals but does not automatically reverse a payment that has already been processed.

PetPA aims to keep subscriptions simple and flexible.
Monthly subscriptions
Monthly PetPA subscriptions operate on a month-to-month basis.
Customers may cancel at any time.
Cancellation prevents the next subscription renewal from being processed.
Unless applicable law requires otherwise, customers may continue using PetPA until the end of the subscription period already paid for.
Annual subscriptions
Customers who choose the R990 annual subscription pay for the subscription period in advance.
Annual subscriptions may be cancelled to prevent renewal for the following year.
Payments already processed are generally non-refundable, except where a refund is required under applicable law.

Please include the breeder or kennel name and the email address associated with the PetPA account.
We recommend submitting the cancellation request before the next scheduled billing date.
After cancellation
After the paid subscription period ends, access to some or all PetPA services may be disabled.
Customers who require copies of information stored in PetPA should make appropriate arrangements before their access ends.
